Who is responsible

[LEGAL ENTITY NAME — to be completed before launch], [REGISTERED ADDRESS — to be completed before launch], operates Wonvoice and is the controller for account data (who signs in, which workspaces they belong to). For the business data flowing between your HubSpot and Xero — deal, company, contact and invoice details — we act as your processor, on your instructions. [DPA — TO BE PREPARED BEFORE LAUNCH.]

What we process

Sign-in identity (name and email, via Google sign-in). Your settings. From HubSpot: the deals, companies and contacts in the pipelines you monitor — only the details your rules need. From Xero: invoice references and statuses, contact matches, and read-only account-code and tax-rate data. Plus a permanent record of every action the service takes.

What we never process

Card numbers, bank details, or your customers' payment credentials. Money never moves through Wonvoice.

Where and how it's stored

All data is stored in Amazon's London (UK) data centres. Connection credentials are encrypted with keys unique to each customer, and every customer's data is separated from every other's at two independent levels.

Retention

Business data is retained while your workspace is active. Deleting a workspace stops all processing and uninstalls the HubSpot app; audit records are retained for accountability. [SPECIFIC RETENTION PERIODS — TO BE SETTLED WITH COUNSEL.]

Subprocessors

Amazon Web Services (hosting, eu-west-2). Google (sign-in). HubSpot and Xero are the systems you connect, not subprocessors. We will maintain a current list on this page.
